Use Company Letterhead
We are living in an online world today and telling someone about something is not difficult because all you need to do is to write all that stuff in an email. However, it is highly recommended to add some personal touch in your letters of appreciation and keeping this recommendation in mind, one should always use the letterhead of company to write such letters. A hard copy cannot be compared with the soft copy so you should type that appreciation letter, print it your letterhead and hand it over to the employee.
While writing a letter of appreciation, you should never forget that it is a business letter written for a business purpose so you cannot be formal in your tone. You have to use a proper formatting for writing a good letter of appreciation. On top of the letter, you should put the date on which the letter was written. After that, you should add the Name of the employee and the title for which the person is getting appreciation. Once you are done with this formal stuff, just add the address of the employee (optional) and then start writing the letter.
Start in a professional Tone
It is very important that you maintain a professional tone throughout the text of your letter. The best way to do so is to start by writing in the professional manner. Start your letter with “Dear Tom,” or “Dear Mr. Alan”. On the other hand, if you wish, you can use the entire full name of the person you are writing letter to.
Body of Letter
Finally, it is the time to create the body of the letter. Again, keep in mind to be professional with your tone and cover the matter with as less words as possible. You sure don’t want to drag that letter to more than one page so keep the agenda in mind and write around it. Mention the good work that employee has done for your company and acknowledge their hard work in open and bold words too.
Once you are done with writing the letter, put your signature at the bottom of the page and hand it over the person who deserves this.
